Fair Use Policy

Suite Circle Pro includes unlimited SMS for personal relationship management. Here's what that means.

What counts as "fair use"?

Fair use means sending reminders and messages for personal relationship management: birthdays, anniversaries, check-ins with friends and family, gift reminders, and personal event notifications. Typical personal use is well within fair limits.

What are the actual limits?

We don't impose hard caps for genuine personal use. However, we monitor for abuse patterns:

  • More than 500 SMS sends per month
  • More than 350 unique recipients
  • Identical messages sent to 15+ recipients
  • High spam complaint rates from recipients

What's NOT allowed?

Suite Circle is for personal relationships only. Prohibited uses include:

  • Marketing or promotional messages
  • Bulk messaging to mailing lists
  • Commercial or business communications
  • Messages to recipients who haven't consented

What if I exceed fair use?

We use a three-strike approach: (1) Email warning with usage report, (2) 7-day SMS suspension (Email/Telegram still work), (3) Permanent SMS revocation. Accounts engaged in spam, harassment, or illegal activity may be immediately suspended.

I have a large family. Will I be flagged?

Legitimate personal use requiring higher volumes is fine. If you're managing a large extended family or have genuine personal needs exceeding typical limits, contact us at support@suitecircle.com to discuss your use case.

Privacy & Data Protection

We take privacy seriously. Here's how we protect your data and comply with GDPR.

How is my data stored?

All sensitive data (contact details, notes, phone numbers, scheduled messages) is encrypted at rest using AES-256 encryption. Your data lives in a tenant-isolated database—completely separated from other users. Even Suite Circle staff cannot read your encrypted data.

Who can see my contacts and notes?

Only you. Your contacts, notes, and personal information are private by default. Suite Circle has no admin dashboard for viewing user data. We have no visibility into your encrypted contact list and no reason to build such access.

Is Suite Circle GDPR compliant?

Yes. Suite Circle complies with GDPR through:

  • Data minimisation: We only collect essential data
  • Encryption at rest: AES-256 encryption for sensitive data
  • User control: Full data export and deletion rights
  • No third-party sharing: Your data is never sold
  • Legitimate interest: Lawful basis for processing contact data

What about the contacts I add? They didn't sign up.

This is a great question. When you store someone's birthday in Suite Circle, they never consented to be in our database. Under GDPR, we rely on legitimate interest as the lawful basis—similar to keeping a paper address book or personal diary. You have a legitimate interest in maintaining relationships, and we provide the tool. You are the data controller for your contacts. If a contact asks to be removed, you can delete them immediately.

Can I export or delete my data?

Absolutely. You can export all your data (contacts, dates, notes, interaction history) in JSON or CSV format anytime via Settings → Privacy → Download Data. To delete your account and all data, go to Settings → Privacy → Delete Account. Deletion is immediate and permanent—no 30-day grace period holding your data.

Do you sell my data or show ads?

No. Suite Circle will never sell your data, show intrusive ads, or create social graphs. We don't track how often you visit, how long you stay, or what you click. No analytics. We do feature relevant product suggestions for Premium users on the gift ideas page - clearly labelled and never based on your personal data.

What happens in a data breach?

We have detection, containment, and notification procedures in place. Because your sensitive data is encrypted at rest, even in a worst-case breach, the data is unreadable without encryption keys (which are stored separately). Under GDPR, encrypted data may not require user notification if keys are not compromised. We take breach prevention seriously through defense-in-depth security architecture.

How long do you keep my data?

Contact data is retained until you delete it. Interaction history, delivery logs, and scheduled messages have user-configurable retention settings (default: 1 year for history, 90 days for logs). After account deletion, all data is wiped within 30 days except subscription records (kept 7 years for tax compliance).
